[Academic] Examination of PhD theses

Dear All,
It has become clear in recent weeks that a clarification of the correct procedure for appointing external examiners and arranging PhD viva examinations is required.
I have attached a set of guidelines that we would ask you to follow. In particular, I would draw your attention to the fact that examiners have to be formally approved by the Vice Dean Academic in a process handled by Student Business before the thesis can be sent out to the examiners. Until the committee is approved a viva should not be arranged. The timescales involved in the approvals process mean that it is necessary for the forms to be submitted at least two weeks ahead of the thesis submission if supervisors wish the viva to be arranged efficiently thereafter. Please also note that the convener is responsible for arranging the viva examination and that a period of 6 weeks is assumed to be reasonable between the thesis being sent to examiners and the viva being arranged.
If we do not follow these procedures or attempt to compress the timescales then we create additional work for our own staff and those in Student Business and risk getting into an embarrassing situation with our colleagues in other Universities.
