[Academic] PH450: Viva Schedule Draft V2.1 and More Viva Details

Dear All,
Minor changes to the schedule, v2.1 attached with changes highlighted in grey.
Viva Zoom Calls:
* Can I ask that the Chair of each viva arrange the Zoom call and provide details to the other people involved. The vivas are scheduled for 45 mins with a 15 mins interval.
* Please use the Waiting Room option so that the student can be let in once the viva committee is ready. You may want to have a quick discussion before you start the examination.
* Students should take their viva alone and receive no prompting from anyone outside of the viva committee.
* Only one viva marking form is required per student (filled in by the Chair). The Chair should email the mark to the rest of viva committee (CC me) so that they have a record of what was agreed.
* The completed form should be uploaded to the relevant idrive folder at "/Science/Physics/project/2020-21/Supervisor and Viva Marks"
* Please make allowance for the difficulties with online vivas in your assessment
Chairs should take as a guide relevant parts of the procedures (specific to videoconferencing, ignore the PhD specific instructions) laid out in the attached Faculty Guidance (for Convenor, read Chair). In particularly, please see Sections 4.2 and 5 (as applicable). At the conclusion of the questioning, students should be dismissed without notification of the decision of the viva committee (as in past years). Supervisors may want to give general feedback to the students on their performance afterwards.

FYI The attached V1.0 preliminary schedule has been sent to students. They have been told to contact and discuss with the Chair of their examination committee if there are any problems with their viva slot. If so, if everyone involved could come to an mutually agreeable solution, just let me know and I'll update the schedule. Likewise if anything comes up between the examiners.

Dear All,
Apologies for the rapid succession of Ph450 Viva Schedule drafts. Due to the 4th May clashing with a major event involving several people, I've had to move all those to the 5th May. I've also incorporated additional notifications of clashes and corrected some double bookings.
I hope to release V1.0 to students end of today. As there may be additional constraints coming to light after this has been done, I will assume that further changes will be made to accommodate these, though this may occur following discussion amongst those directly involved in the individual vivas concerned.

Please find attached draft V0.2 of the viva schedule. Main change is moving the vivas in the first week of May along by one day to avoid the May Bank Holiday. Also changed are some dates and times taking into account people's availability.

Dear All,
Please find attached a draft schedule for the PH450 Project Vivas. They have been scheduled to be at least a few days after the student's last exam. Please let me know if you absolutely cannot make the date of a scheduled viva and I shall try to reschedule it. Please also let me know if I double booked anyone.
However, as there are a large number of vivas and people to co-ordinate, it is fine for students and the examination committee members to make alternative arrangements for times and dates without having to go through me at a later stage should a clash arise. It would be good if vivas be completed by the 17th May 2021 to allow time for final collation of marks.
I shall send out more detailed instructions about the vivas at a later date.
