[Academic] Data Protection Reminder

Dear all,

We had an incident in the Department this week where an email was accidentally sent to a group of students using 'CC' instead of 'BCC'.  This had to be reported to the Information Governance Unit (IGU) as a data breach because the email contained some information on the performance in a class by the email recipients.

The IGU has asked me to send a reminder to staff that they must be very careful when sending emails to groups of students:

"Errors relating to cc/bcc have been identified by the Information Commissioner's Office as one the most common causes of data breaches reported to them.  The IGU recently updated SharePoint guidance on Personal Data breaches and email messages<https://strath.sharepoint.com/sites/igu/Shared%20Documents/Forms/AllItems.aspx?id=%2Fsites%2Figu%2FShared%20Documents%2FPersonal%20Data%20Breaches%20and%20Emails%2Epdf&parent=%2Fsites%2Figu%2FShared%20Documents> to reflect this. The incident should be used as an opportunity to make all team members aware of this guidance, and to take care when sending emails that involve a large number of recipients or involve personal email addresses."
