[Academic] Preparations for Research Audit

Hi Everyone,

As many of you will know from the information sessions organised by the University’s REF team, this year’s research Audit is being geared around the beginning of our preparation for REF 2020. At this stage, we need your help in preparing for the department’s evaluation both for Research Outputs and for Impact. I apologise for the long e-mail, but I’d like to be clear about what is needed at this stage.

Please submit your research outputs or contact me by  Friday 18 December  as detailed below - but please note my comments on which papers need to be submitted (and our expectations on this) below.

Research Outputs:
- All staff in the department should ensure that ALL of their publications have been entered into PURE, and that a postprint (author final version of a manuscript at the point of acceptance) is uploaded for each publication.
- All academic staff, and research fellows who are eligible for REF submission should propose at least one and at most four research outputs in PURE to be evaluated as part of the research audit. This should be completed at the very latest by the Christmas break, and we are targeting submission of all of the papers in the department by Friday 18 December.
As is the case for REF, you will be asked to include a short statement outlining why you feel that these papers should be rated as 4* or 3* (see the REF team’s briefing slides attached here). Most of us are familiar with this, as it is the same requirement we had for the last REF. According to the new university policy, these will be evaluated as a group by an internal panel, so that we can gauge where we are at this point, 1/3 of the way through the REF cycle.
- In January, an internal panel led by John Jeffers will generate the overall profile for the papers submitted in Physics.

Please note the following:
- The purpose of this is not to evaluate individual academics, but rather to evaluate how far we are as a department towards collecting the outputs we expect to have for REF 2020
- We realise that we are only 1/3 of the way through the REF period, and that most people will have at most 1 or two (possibly none) of their likely REF submission papers ready at this point.
- Accordingly, please only submit papers that you see as being 4* or 3* level (see the excerpt from the REF team's briefing session slides attached here), and please only submit papers you feel are very likely to be submitted for REF 2020. As an extreme example, if you expect to submit four 4* papers, and at the moment have one 4* and three 3* papers (because you see the three 4* papers coming further down the track before 2020), please just submit the one 4* paper now! Again, this exercise is not about grading individual achievement, and we realise that most people will have at most one or two papers to submit at this point.
- If you have no papers to submit for this exercise, because your likely REF submissions are still in progress, please drop me a quick e-mail indicating roughly where you see the plan for this, i.e., at what point your probable REF papers will most likely be submitted, so that I can present an overview of where we as a department along the process of generating our REF outputs.

Impact:
- In addition to this, we need to seriously think about our impact case studies, and we need to ensure that anyone who has a potential REF-submittable Impact case is collecting the necessary information now to save time and work later
- This aspect of the Research Audit will be arranged by Brian McNeil, as our new Impact Coordinator. He will arrange information sessions, and discuss further how this process will work.
- You should expect to receive a separate e-mail from Brian regarding this in the coming days.
