There have been number of issues in this current exam diet with regard to invigilation of the exams and the security of the exam papers. Can I therefore ask you to remind your invigilators of the University Policy on the Invigilation of Examinations (policy document attached). Specifically, the following sections:



2.2 RESPONSIBILITIES OF ALL INVIGILATORS

Collectively, invigilators are responsible for:



2.2.1 Arriving at the examination room at least 20 minutes before the beginning of the examination;

2.2.2 Ensuring that if they are unable to attend the examination, that an appropriate substitute is appointed and briefed;

On several occasions in the last few days a number of invigilators have either turned up late or not turned up at all and we have had to prompt the department to send someone to the exam venue. The requirement for invigilators to arrive at the examination room at least 20 minutes before the beginning of the examination is to ensure that there is sufficient time to check the exam papers, supervise students' entry into the exam room, register attendance and make the Invigilator Announcement BEFORE the official examination start time.

2.1.4 Ensure there are arrangements in place for the secure delivery of all candidates' answer books to the relevant Department/School or appropriate internal examiner;



We have also had an incident of exam answer books being left in the exam room and not collected by either the invigilator or someone from the department. If there is more than one exam taking place in the same location and an invigilator is aware that there are answer books which have not been collected can I ask that they take the answer books to a secure location and then notify the exams admin team on extension number 2790 immediately.



Finally, it would be helpful if you could ensure that you or one your colleagues is available (i.e. contactable by telephone) for the 20 minutes preceding any of your examinations to deal with any exam related issues.
