Dear all,

A reminder sent on behalf of the Faculty Manager:
If you are writing a reference for a student or current or former staff member, please bear in mind the advice below - not to include sensitive data without permission.

Thanks,

Gabrielle

Dear Heads

In investigating a recent complaint, I found guidance on providing references on the Equality and Human Rights Commission's (EHRC) website (see https://www.equalityhumanrights.com/en/multipage-guide/after-someone-has-left-job) which states:

"Good practice tip on giving references

... Don't supply sensitive data, for example, on sickness absence, unless permission to do this has been given in writing explicitly by the worker."

In my report, I wrote:

"While this advice is written in relation to current or former employees it would be good practice to apply the same approach to references for students and others. ... As Investigator, I recommend that HoDs in Science ensure that all members of staff who are likely to be requested to provide references (for students or employees) are made aware of the EHRC guidance referred to above."

I would be grateful if you would circulate this e-mail to relevant colleagues in your dept. Thank you for assisting with implementing the recommendation.

Kind regards
