[Academic] Conference Fee Payments

Hi

It has been brought to my attention that in some cases PhD students are being asked to pay for conference fees by personal bank transfer.  I have spoken with Finance and they have confirmed that there are three processes in place to deal with the payment of conferences fees:


1.       Pay by University Purchase Card

2.       If a Purchase Card is not acceptable, complete a request for payment form and submit on FMS at least two weeks in advance of the due date of payment.

3.       When both above cannot be used, request a cash advance but again allow for an appropriate amount of time.

A Request for Payment form can only be used once for each supplier not on the system.  If you have more than one student attending the same conference someone in the group will need to coordinate the form for submission to FMS.

Please do not ask your PhD students to pay these fees by personal bank transfer.
