[Academic] Right to Work Verification: Important Update on COVID-19 Adjusted Checks (Reminder)

Dear colleagues



This email contains important information on changes that come into effect from 21 June 2021 relating to Right to Work checks that apply to workers engaged via the Supplementary Payments route, including external examiners of PhD students. Convenors of PhD vivas are asked to please note the new action required at least two weeks in advance of an online viva.



The Home Office has stipulated that temporary adjustments to Right to Work checks (introduced during March of last year owing to COVID-19) will end on 21 June 2021.



Since March 2020, HR has been temporarily supporting departments with their Supplementary Payments-related RtW checks. Unless the Home Office revises its schedule, pre-Covid arrangements will be reinstated on 21 June and departments will need to perform their own RtW checks again, which will mean 'document-in-hand' verifications of suitable RtW evidence.


Unless the Home Office makes any changes, right to work checks will have to be conducted either:

  *   'in person' - a member of the Department Admin team will perform in-person RtW checks on campus (this would apply, for example, to students employed to teach or to visiting external examiners).
  *   using a share code that the individual provides (for those with a Biometric Residence Permit / Residence Card / EU Settled or Pre-Settled Status / Indefinite LTR) https://right-to-work.service.gov.uk/view/share-code and a zoom call is required to confirm likeness to the photo that is received from using this service.
  *   the individual sending their passport to the Department by post and a zoom call arranged to confirm their likeness to the passport photo.
This RtW check needs to be performed prior to the work being carried out. Note that in the event of a PhD viva taking place online (e.g. by Zoom), the external examiner will be required to send a share code or their passport to the Department and have the Zoom call to verify their likeness to the photo in advance of the PhD viva.

PhD exam convenors are asked to take note of this and alert Catherine and Gabrielle to any online vivas taking place, at least two weeks in advance of the date of the online viva, to provide enough time for these checks to take place (which may require the examiner to post their passport). Thanks
