[Academic] Reminder about meetings with students

Dear all,

A message for all academic staff involved in teaching or advising students:


Now that the new session is starting, I'd like to remind staff of an important issue:



If you have a meeting with a student who is reporting a problem or asking for help, you are advised to follow up the meeting with an email to the student briefly outlining what has been discussed and what has been advised.



This really helps to ensure that

(a) the student is clear on what you have advised, particularly if there are several options;

(b) the student has information to refer back to – when they are distressed they often don’t take it all in;

(c) you have a note in writing of support suggested in case of a subsequent complaint about lack of support incorrect advice.



If you are in doubt about how to advise a student, Brian, Alison, Nigel and I can all help you.



Although the students are told about the various support/welfare services, they often don’t remember the information and need to be told again when they meet with you.  It helps to include the relevant links in the email.



A complaint previously made against the Department by a student resulted in a recommendation by Faculty that advice given to students in private meetings be put in writing, both for clarity and so that there is a record of the conversation having taken place.
